Part-Time Office Administrative Manager
Job Overview: We are seeking a reliable, organized, and compassionate office administration manager to support a growing mental health group practice. This part-time role involves managing administrative tasks, communicating with clients, and assisting with various projects essential to the daily operations of the practice. This position is ideal for students actively pursuing a degree in mental health or a related field who want to gain valuable experience in a clinical setting.
Responsibilities:
- Manage the clinician’s calendars and client appointments as needed, ensuring scheduling efficiency and adherence to practice policies.
- Communicate with clients and staff via email and phone, providing professional and compassionate responses to inquiries.
- Assist with client intake and document management, ensuring client records are accurate and up-to-date.
- Prepare documents, forms, and other resources as needed for client sessions and practice operations.
- Conduct research related to mental health topics, therapy tools, or industry best practices as requested.
- Track and update practice metrics or reporting data (e.g., client retention rates, billing information).
- Manage administrative tasks per the request of the clinicians and practice owner, including but not limited to sending faxes, collection of records, finding referrals and more.
- Maintain confidentiality and uphold ethical standards in all client interactions and document handling.
- When in office, helping around the office with restocking, organizing, and straightening up.
- Additional tasks and responsibilities can be determined together based on Company need and strengths of the candidate.
- Credentialing support and record keeping for clinicians.
Requirements:
- Currently enrolled in, or graduated from, mental health related schooling (e.g., psychology, counseling, social work).
- Knowledge of an sensitivity to client confidentiality and HIPAA compliance.
- Excellent verbal and written communication skills, with a compassionate and professional demeanor.
- Strong organizational skills and attention to detail.
- Proficiency in excel, Microsoft Word, or related programs.
- Ability to work independently, manage time effectively, and follow instructions with minimal supervision.
- Self-motivated to achieve tasks outlined in the job description.
Preferred Qualifications:
- Experience working in a mental health or healthcare setting, especially in an administrative role.
- Familiarity with practice management software or EHR (electronic health record) systems.
Schedule & Compensation:
- 3 to 8 hours per week, with potential for additional hours as needed.
- Majority hybrid position, with in person hours to be negotiated with the candidate. Our office is located in Eden Prairie.
- Hourly pay based on experience and qualifications, starting at $18 per hour.
